1. About this policy

PartyPop respects your privacy. This Privacy Policy explains how PartyPop collects, uses, stores and shares personal information when you visit the website, request a quotation, use the availability calendar, submit a booking or hiring order, communicate with us or pay for services. PartyPop is the responsible party for the personal information described in this policy and operates from Cape Town, South Africa.

2. Information you provide

We may collect your name, telephone or WhatsApp number, email address, selected package, hiring items or services, requested event date and time, venue or delivery address, collection or delivery choice, event type, theme, colour palette, backdrop preference, custom-printing details, add-on requests, budget, special notes, photographs or artwork you provide, and the content of messages or enquiries.

3. Booking and payment information

For booking requests and payments, we may keep the package and equipment totals, delivery distance and fee, 50% deposit, remaining balance, currency, payment status, transaction reference, availability hold, requested date and time, location, selected options, invoice, confirmation-email and refund information needed to manage the order and financial records. Online payments are processed by PayFast. PartyPop does not receive or store your full card number, card security code or online-banking credentials.

4. Website and cookie information

When you use the website, limited technical information may be collected automatically, including IP address, browser and device information, pages viewed, referral source and cookie preferences. This information is used to operate, secure and improve the website. You can restrict cookies through your browser, although some website functions may be affected.

5. How we use personal information

We use personal information to answer enquiries, show and manage availability, prepare quotations, calculate equipment delivery, customise décor, process booking and hiring orders, generate invoices, send transactional emails, arrange venue access, delivery, collection and setup, take and confirm payments, process approved refunds, prevent fraud, keep business records, comply with legal duties and improve our services.

6. Consent and lawful processing

We process personal information when it is necessary to respond to your request, perform or prepare a contract, meet a legal obligation, protect legitimate business interests or where you have given consent. Where we rely on consent, you may withdraw it at any time, but this will not affect processing already completed lawfully.

7. When information is shared

We share only the information reasonably necessary to provide the service. Providers may include Framer for the website, Vercel for backend hosting, Neon for booking-data storage, Resend or another email provider for transactional messages, PayFast for payments, Geoapify for equipment-delivery address lookup and road-distance calculation, and relevant suppliers, installers, venues, couriers, professional advisers, insurers, law-enforcement bodies or regulators. These providers process information under their own terms and safeguards. We do not sell your personal information.

8. Storage and transfers

PartyPop and its service providers may store or process information on systems located in South Africa or other countries. Where information is transferred across borders, we take reasonable steps to select reputable providers and use appropriate safeguards in line with applicable South African data-protection law.

9. Retention

We keep personal information only for as long as reasonably necessary for quotations, bookings, customer support, disputes, accounting, tax, fraud prevention and legal or regulatory requirements. Information that is no longer required will be deleted, destroyed or de-identified where reasonably possible.

10. Security

We use reasonable organisational and technical safeguards to protect personal information against loss, misuse, unauthorised access, alteration or disclosure. Booking data is stored in access-controlled systems and payment-card information is entered and processed in PayFast’s secure payment environment rather than stored by PartyPop. No internet service is completely secure.

11. Your privacy rights

Subject to applicable law, you may ask whether we hold your personal information, request access to or correction of it, object to certain processing, ask for deletion where appropriate, withdraw consent, or complain about how information is handled. We may need to verify your identity before acting on a request. You may also lodge a complaint with the Information Regulator of South Africa.

12. Marketing and photographs

We will send promotional messages only where permitted and you may opt out at any time. PartyPop may photograph completed decor for its portfolio and social media. If you do not want identifiable event details or customer-provided content used, please tell us in writing before the event.

13. Children, changes and contact

Our services are booked by adults. If you provide information about a child for an event, you confirm that you are authorised to do so and should share only what is necessary. We may update this policy when our services, technology providers or legal duties change. Privacy questions and requests can be sent to partypopza2023@gmail.com or WhatsApp +27 72 960 9773.
